This is the final circular of the International Conference 
on Hypernuclear and Strange Particle Physics (Hyp-X)
to be held in Tokai (J-PARC), Japan on September 14-18, 2009.

This conference is the 10th conference in a series that was started in 
Heidelberg (1982), and was followed by meetings in Upton (1985), Padova (1988), 
Shimoda (1991), Vancouver (1994), Upton (1997), Torino (2000), Newport News (2003), 
and Mainz (2006).

The subjects to be discussed in the conference are,
1) Spectroscopy of Hypernuclei,
2) Weak Decay of Hypernuclei,
3) S=-2 Systems,
4) Strange Mesons in Nuclei,
5) Baryon-Baryon Interaction,
6) Elementary Strangeness Production and Exotic Hadrons,
7) Strangeness in Hadron Structure,
8) Strangeness in Heavy-Ion Reaction and in Hadronic Matter.

A. Conference site

All sessions, including plenary and parallel sessions, are to be held at 
"Techno Community Square RICOTTI" near Tokai Station in Tokai village, 
where J-PARC is located. 
The information on access to Tokai village and RICOTTI is available at

B. Transportation Information

The conference site "Techno Community Square RICOTTI" is 3 minutes walk 
from the East Exit of TOKAI Station on the JR Joban line. 
Most participants should stay in hotels around MITO Station. MITO is the 
largest city in IBARAKI Prefecture (and close to TOKAI). It takes 20 minutes 
to go from MITO to TOKAI by a local train on the JR Joban line. TOKAI is 
the 3rd station from MITO (MITO -> KATSUTA -> SAWA -> TOKAI). 
The one-way fare is 400 Yen. The local train leaves MITO Station 
every 15-20 minutes during the morning.

Most foreign participants will land at and/or depart from Narita (New-Tokyo) 
International Airport. A bus service (Rose Liner, operated by Ibaraki Kotsu Co.) 
from Narita Airport bound for HITACHI Station makes stops at MITO Station 
and TOKAI Station. 
The one-way fare is 3,000 Yen and it takes 100 - 140 minutes.

C. Online Registration and On-site Registration Desk

The registration fee is 35,000 Japanese Yen, which covers lunch boxes, 
the banquet and the proceedings. The fee for students is 20,000 Japanese Yen. 
All participants should register online. 

JTB Kanto Corp. (JTB) handles the registration as well as the hotel reservation 
and the excursion (optional tour). 
The registration can be done on the "JTB Web site". 

To access from the conference home page, please click "Registration" in the 
list of "MENU" on the home page. 

The deadline for online registration is August 31, 2009.

The registration desk will be open on September 13 (Sun) during the welcome drink party 
at Hotel Terrace the Garden Mito. It will also be open during the conference 
at the conference site, RICOTTI.


D. Accommodation 

Participants can reserve a hotel room on the JTB Web site until August 31, 2009. 
A sufficient number of rooms at hotels in Mito City have been blocked for 
the conference participants from the night of September 13 (Sun) through the morning 
of September 19 (Sat) at special discount rates. 

Hotel assignment will be made on a first-come, first-served basis. 
Most of the hotels are located near Mito Station on the JR Joban line. 


E. Payment 

We recommend that you pay with a credit card on the JTB Web site. 
Major credit cards are accepted for payment.  

E.-1 Registration and Excursion

For the registration fee and the excursion, payment by cash (and credit card) 
at the conference site is also acceptable. The cash is restricted to Japanese Yen only. 

If you wish to pay at the conference site, please send an e-mail to JTB, 
  tsuchiura_4"_@_"jtb.jp   ("_@_" should be replaced with @ (at mark). )
, stating your intention. 
In this case, you don't need to proceed to the payment procedure on the JTB Web site. 
In other words, you don't need to push the button "Payment" at the end of each step, 
nor the tab "Payment" on your Personal Page. 

E.-2 Hotel accommodation

If you reserve a hotel room through the JTB Web site, the payment is accepted 
ONLY with a credit card online.  
If you can't pay by credit card, please consult with JTB.

F. VISA

All foreign participants must carry a valid passport, and in some cases, 
a visa is also required.You can find out whether or not you need a visa at

If you are not sure please check with the nearest Japanese Consulate/Embassy 
or a travel agent. If you need help obtaining your visa, please contact

G. Social Events

G.-1 Excursion

We have prepared two tours: an optional tour and J-PARC site tour.
Please apply for your selection at the time of your online registration. 

G.-1.1 Optional tour

An optional tour is scheduled in the afternoon of September 16 (Wed). 
On this tour, we will go to Kasama City by bus from the conference site. 
There, you will experience  "Ceramic Art" (painting your own design onto 
an item of Japanese pottery).  Afterwards, we will go to "Kasama Inari-jinja" 
which is known as one of the three largest Inari shrines in Japan. 
A more detailed schedule is given in "Tour Reservation Procedure" 
on the JTB Web site.

The fee for this tour is 4,000 Japanese Yen which covers the Ceramic Art experience. 
However, you are responsible for transporting your art. 

The registration for this tour can be done from your Personal Page in the JTB Web site. 
Please click the tab "Tour" on your Personal Page. 

The deadline for registration is August 31, 2009. 
Please be aware that registration for this tour is limited to 70 persons. 


G.-1.2 J-PARC site tour

The J-PARC site tour to the Hadron Hall Facility, where the hypernuclear and 
hadron physics experimental programs will be performed, is held both in 
the afternoon on September 16 (Wed) (Excursion time) and in the afternoon on 
September 18 (Fri), after the conference (admission is free). 
If you are going to attend the tour, please apply for it at the time of 
registration and indicate desired date.

In order to enter the JAEA/J-PARC area, personal information such as age and 
nationality is required. We apologize for collecting such personal information 
at the registration. 
In particular, non Japanese citizens are required to submit the Visit Proposal 
one week before the visit. The form will be sent to those who have applied for 
the tour through JTB. 
Please fill it out and send it back to JTB or the organizer. 

The tour bus(es) will take you to Tokai station and Mito station after the tour.
On September 18, the bus(es) will also stop at the Ibaraki Quantum Beam Research Center 
(post workshop place).


G.-2 Welcome Drink and Registration Desk on Sep.13
From 17:00 on September 13 (Sunday), the registration desk will be open at 
Hotel Terrace the Garden Mito, (not the conference site). Drinks and light meals 
will be served. Participants are welcome to join the party. 
The hotel is located at the South Exit of Mito station.

G.-3 Tour desk
A tour desk will be open at the conference site during the conference.
The travel agent, JTB Kanto Corp. (JTB), will be stationed there and can 
help with arrangements.


G.-4 Conference Dinner (Banquet)
The Conference Dinner will be held at 19:00 on September 17 (Thu) at Hotel Lake View Mito.
The hotel is located at the South Exit of Mito station.

All participants and accompanied person(s) who have registered are invited. 


G.-5 Lunch Box 
A lunch box will be prepared every day for each participant who has registered online.

H. Scientific Programs

A preliminary scientific program of Hyp-X is available in an attached PDF file. 
The most up-to-date program should be available through the conference web page.
The conference is composed of Plenary Sessions, Parallel Sessions, 
and Poster Sessions. 
We have two plenary sessions every morning during the conference, and two plenary 
sessions in the afternoon of September 14 (Mon). The parallel sessions are 
scheduled in the afternoon of September 15 (Tue) and September 17 (Thu). 
The poster sessions are in the evening of September 14 (Mon) and September 15 (Tue).

H.-1 Oral Presentation
All the talks in plenary sessions should reserve five minutes for discussion 
in their time slots. The time allotted for each talk in parallel sessions is 12 min. 
for presentation and 3 min. for discussion.
An LCD projector is available in all the meeting rooms for plenary and parallel sessions; 
please prepare your own lap-top computer and verify whether the projector works 
well before your talk. 
We will collect your presentation files via USB memory and make them available 
through our web site after the workshop.

H.-2 Poster Presentation
Poster sessions will be held in the evening of September 14 (Mon) and 15 (Tue).
Each poster presentation can use an area of 120 cm (height) x 90 cm (width) which can 
accommodate an A0 size poster. 

H.-3 Computing Environment
Wireless LAN access points are available for your lap-top connection at RICOTTI.


I. Proceedings
The proceedings of the Hyp-X conference will be published in Nuclear Physics A. 
Most of the plenary talks and part of the parallel talks (about 70%) will be refereed 
and included in the proceedings. The detailed instructions will be informed to 
each author by the organizer.


J. Pre- and Post- Events

J.-1 International School on Strangeness Nuclear Physics
International School on Strangeness Nuclear Physics will be held from September 10 (Thu) 
to September 12 (Sat) at Kyoto University. You can find the schedule of the school 
in an attached PDF file. The details will be announced through the Hyp-X web page "School".

J.-2 International Workshop on "Physics and Upgrade of the J-PARC Hadron Facility" 
The International Workshop on "Physics and Upgrade of the J-PARC Hadron Facility" will 
be held from September 18 (Fri) to September 19 (Sat) at J-PARC.
